The client, United Negro College Fund Special Programs Corporation (SP) – works diligently to create connections between the diverse, high-performing workforce of the minority education community and private industry to address the nation’s imperatives. The goal of SP is to provide Minority Institutions (MIs) with capacity-building opportunities; the government and private industry with access to a talented and diverse workforce; and individuals with the experience, exposure, mentoring, and development they need to have successful and empowered careers.
Requirements:
- To develop a customized timesheet web application system for SP’s employees and supervisors
Solution:
SP wanted MMG to build a timesheet system for their employees. There are many commercial off the shelf (COTS) timesheet systems available in the market. However, SP’s needs were specific and customization of available COTS software did not suit their requirements. As a result, MMG decided to develop a timesheet system that satisfied their needs.
To begin with, MMG decided to link all the SP projects with the new timesheet system. HR was given the permission to add new projects for the employees. Once the projects were added for the employees, they could go ahead and fill in the hours they worked on each project. The system also allowed the employees to add their accomplishments for each project in the given time period. Each time period was two weeks – in sync with the pay period. The timesheet system was linked with the payroll system making it simple for the account and finance department to perform payroll processing.
The timesheet system also gave the employees the ability to enter their leaves. Each leave request had to be approved by the appropriate supervisor. The employees had to submit their timesheets at the end of each time period and the submitted timesheets had to be approved by their supervisors. The system generated customized reports for HR, the Accounting department, and for high level supervisors.
The future enhancements include linking the timesheet system with the online budget system, assisting the managers to track the budget of each based on the number of hours each employee worked on each project.
Major Achievements:
A completely customized timesheet system built for SP employees that helped speed the payroll processing, helped SP go green with reduction in usage of paper for timesheet submission, helped SP store all of their records electronically, which helped them in audits, and lastly helped employees track their leave and hours worked.
